How Much Does Custom Software Cost in India? What Actually Drives the Price

Almost every first call starts with the same question: how much will it cost? The honest answer is that nobody can quote a sensible number without knowing a few things. Here is what moves the price, so you can judge any quote you receive.

The five things that set the price

  1. Number of user roles. An app with one type of user is far simpler than one with admin, manager, staff, vendor and customer, each with different screens and permissions.
  2. Number and complexity of screens and workflows. A form that saves a record is cheap. A form that triggers approvals, notifications and calculations is not.
  3. Integrations. Payment gateways, GST and KYC services, WhatsApp, accounting software and logistics partners each add design, build and testing time.
  4. Design effort. A functional internal tool needs less visual design than a customer-facing product.
  5. Platform choice. Web only, Android only, or web plus Android and iOS.

Rough ranges, with a warning

These are indicative only, and every project is different. A simple business website typically sits in the tens of thousands of rupees. A custom web application with a handful of roles and a few integrations usually runs to several lakhs. A full custom ERP, or a multi-tenant SaaS product, can reach tens of lakhs depending on scope. Treat any quote far below these ranges with caution, and ask what has been left out.

Fixed price or time and material?

Model Works well when Watch out for
Fixed price Scope is clear and unlikely to change Change requests priced separately; vendors may cut corners to protect margin
Time and material Scope will evolve as you learn Needs a clear budget cap and regular reviews
Monthly retainer Ongoing product work and support Agree what is included each month

How to keep the budget under control

  • Start with the one workflow that hurts most and release that first.
  • Write down what is out of scope for version one, and keep that list.
  • Use ready-made components for login, payments and notifications instead of rebuilding them.
  • Decide who in your team approves changes, so feedback arrives in one voice.

Ask every vendor the same three questions: what is included, what is not, and what happens if requirements change. The answers matter more than the headline number.

Do not forget running costs

Hosting, domain, SMS and WhatsApp charges, third-party API usage, and support all continue after launch. A good proposal lists them separately so there are no surprises in month two.
